The Gideons International in Australia (TGIA) is an association of Christian business and professional people, dedicated to spreading the Gospel through service, Scripture distribution, and personal testimony. With a global presence and a heart for evangelism, TGIA seeks to be an extension of the mission of the local church by placing Scriptures in strategic locations and equipping members to serve in their communities.

THE ROLE

Are you an innovative, strategic thinker with strong operational management skills? The Operations Officer plays a critical role in ensuring that our national ministry runs efficiently and is fully aligned with TGIA’s mission. Reporting to the National Executive Director (NED), the Operations Officer oversees day-to-day operations, manages cross-departmental processes, and ensures organisational compliance with internal governance and external regulations. As Finance Lead this position is also responsible for managing financial operations, in collaboration with our external accounting specialists.  The successful candidate will lead the Operations team, provide support to the NED, and oversee key functions such as logistics, procurement, donor engagement, compliance, and financial management.

  • Receives financial reports and insights from external accounting firm, Saward Dawson. (Shared Report with NED)
  • Communications Lead (Shared Report with NED)
  • Membership Lead (Shared Report with NED)
  • Executive Assistant (Shared Report with NED)

 

KEY RESPONSIBILITIES

  1. Operational Management:
    • Manage daily operations across all departments, ensuring efficient and compliant processes.
    • Preparation of submissions and reports to national regulators, and take a lead role in the preparation of the annual report to convention in consultation with the NED
    • Supervise inventory management, procurement, and distribution tracking systems.
    • Collaborate with the NED and department leads to align operations with strategic objectives.
    • Oversee processes related to membership and election activities in conjunction with the Membership Officer Lead.
    • Ensure compliance with TGIA’s constitution, bylaws, and national regulatory requirements.
  1. Staff Supervision:
    • Directly supervise the Inventory Management Officer, Donor Engagement Lead, Finance Assistants, and yet to be appointed Compliance Officer.
    • Collaborate with the NED in managing shared reports, including Communications Lead, Membership Officer Lead, and Executive Assistant.
    • Receives financial reports and insights from external Accounting firm, Saward Dawson. (Shared Report with NED)
    • Note: With shared reports NED has direct strategic engagement with these elements, the Operations Officer conducts day to day process for these roles.
    • Conduct performance reviews, provide training, and foster a positive, collaborative team culture.
  1. Governance and Compliance:
    • Ensure all operations comply with the organisation’s internal governance structures and external regulatory requirements.
    • Regularly review and update operational policies to maintain compliance and efficiency.
  1. Financial Management (Finance Lead):
    • Oversee the preparation of all financial data by the Finance Assistants team as requested by the external financial consultancy.
    • Respond to and coordinate all requests for further information from the external financial consultancy.
    • Supervise the finance team, ensuring accurate and timely processing of financial transactions.
    • Implement financial policies and procedures to support the organisation’s financial health and regulatory compliance.
    • Provide financial reports and insights to the NED.
  1. Strategic Planning:
    • Assist the NED in developing and implementing strategic initiatives that enhance organisational efficiency.
    • Provide data-driven reports on operational and financial activities, ensuring alignment with TGIA’s mission and objectives.
  1. Communication and Coordination:
    • Serve as the key point of contact for operational matters across departments.
    • Ensure smooth communication and coordination between departments, aligning operational goals with the wider strategic direction of the organisation.
  1. Special Events and Projects
    • Coordinating resources to assist in the delivery of special projects as required including special events.

 

 SKILLS AND EXPERIENCE

  • You are a strategic thinker with a heart for service.
    • You are a mentor, a motivator and a strong communicator who thrives on seeing teams and individuals succeed.
    • You are passionate about the Gospel and are ready to use your skills to further TGIA’s mission.
  • Diploma or degree in Business Administration, Operations Management, or a related field.
  • Minimum 5 years of experience in operations management or a similar role, with a proven track record of success in managing complex operational functions.
  • Strong leadership skills, with the ability to supervise and motivate teams.
  • Experience in financial management, including budgeting and reporting.
  • Knowledge of governance and compliance processes within a non-profit or ministry context would be an advantage.
  • Knowledge of IT including ERP software (NetSuite) and IT automations is desirable.
  • Excellent organisational and problem-solving skills, with a keen eye for detail.

Operational Excellence: Ensure every part of the ministry operates efficiently, in compliance with governance standards, and ready to respond to the needs of our mission.
