Bookings Assistant & QLD Office Administrator - Permanent (3-5 days a week)

Quiz Worx is a travelling children’s ministry group that exists to share Jesus with kids everywhere. We do this mainly through performing creative live shows in schools, churches, and community events, as well as creating videos & resources for others to use in ministering to children within their local settings.  

Quiz Worx has a great opportunity for a dynamic and enthusiastic person to join the team in Queensland as a Bookings Assistant and Office Administrator, to help us reach 150,000+ kids a year.

 

JOB DESCRIPTION:

  • This role supports our Bookings & Project Coordinator/Office Administrator

The successful candidate will be based in our Helensvale (QLD) office and will be tasked with providing support to our Bookings & Project Coordinator/ Office Administrator (who is based in NSW).

Your TWO primary responsibilities in this role will be: 

Bookings Organisation
 
You will be responsible for assisting with the organising and coordinating of Quiz Worx show bookings and tours.

You will provide support for and report to our Bookings & Project Coordinator/Office Administrator, working closely with her. Your specific tasks will include:
 
Show Booking Organisation. This involves:

  • Communicating with new and existing contacts via various channels (phone/email/sms/post)
  • Taking and managing show bookings, liaising with show booking contacts and internal stakeholders, maintaining our performance calendar.
  • Responding to inquiries via phone/email
  • Data Entry and CRM maintenance

Tour Organisation. This involves:

  • Creation & Coordination of all details required for tours, to include initial outreach to stakeholders, taking and managing bookings, creating itineraries, including accommodation and transport, all Google Calendar entries
  • Keeping detailed spreadsheets showing all tour correspondence accessible for multiple stakeholders
  • Liaising with performers regarding all tour details before departure

Assisting with the QLD Quiz Worx Calendar & Performers

  • This includes tours, individual & weekend shows, Holiday Kids' Clubs, meetings, resource deadlines, and communicating with and sending reminders to all permanent and casual staff, and volunteers.

 

Office Administration
 
As the primary office administrator for the QLD office, you will be responsible for a range of functions to make sure the administration/office activities run smoothly.

You will report to our QLD Director, our Bookings & Project Coordinator/Office Administrator, and our GM.

Your specific tasks will include: 
 
General Office Administration. This involves:

  • Providing administrative support to the Qld Director;
  • Being the first point of contact at Quiz Worx QLD office, answering phones & emails;
  • Being responsible for all office supplies, including the stocking, organising and reordering of supplies;
  • Assisting with maintaining our contact databases;
  • Writing business letters, reports or office memos
  • Filing
  • Operating and arranging the maintenance of a range of office machines such as a photocopier, scanner, postage scale, etc.

 

JOB REQUIREMENTS:

The ideal candidate will have:

  • A deep passion to know Christ and make Him known, especially to kids.
  • A mature Christian faith and active involvement in a Christian church.
  • Excellent interpersonal and communication skills via phone & email.
  • High attention to detail and accuracy.
  • Strong organisational skills and the ability to multi-task.
  • A can-do and positive attitude.
  • Diplomacy and negotiation skills.
  • The ability to work well within a team.
  • Strong time-management skills.
  • Proficiency with Microsoft Office Suite and Google Apps (Gmail, Calendar, Sheets, Drive, etc).
  • Experience teaching RI/SRE is a plus!

Successful candidates require a Working With Children Clearance (Blue Card) and must be legally authorised to work in Australia.

 

Salary:

The annual full-time salary for this role is $70,000. Quiz Worx in compliance with Government regulations will pay 11.5% of your salary towards a superannuation fund of your choice.

Support-raising is a component of everyone's role at Quiz Worx and you will receive training and support to help you in this aspect.
