We are looking for our next Executive Assistant to be a part of our high performing Advisory team. You will find yourself at home in the role if you have a passion to serve our leadership and team. As an EA, you will play a crucial role in facilitating the smooth operation of executive functions and office management, ensuring efficient communication, and managing administrative tasks to enable leadership to focus on strategic initiatives.

Key areas of responsibility

Executive assistant to Principal

  • Act as the point of contact for the Principal of the organisation among employees, clients and other external partners
  • Manage the Principals calendar, setting up meetings and ensuring appropriate briefing and documentation is provided
  • Make travel and accommodation arrangements for the Principal
  • Collating and distributing speaking resources to clients
  • Answering phones and routing calls to the correct person or taking messages

Executive support

  • Assist with inbox and diary management of the Managing Director among employees, clients and other external partners
  • Organize logistics for board meetings, assist in preparing board packs, and manage leadership team planning days
  • Collaborate with the Managing Director to plan team events, manage event budgets, and coordinate travel logistics
  • Office Management: Handle office-related tasks such as ordering groceries, managing inventory, including packaging and office supplies, overseeing vehicle logistics, and answering phones

Accounts

  • Oversee invoicing
  • Maintaining accounts database
  • Managing client requests and queries
  • Managing accountants requests and queries
  • Assisting with past due or denied invoices
  • Processing supplier payments

This position would suit a recent graduate with an interest in developing their administration and service skills and gaining experience in a dynamic team with opportunities for growth.
