The Scots’ Church, located in the heart of Melbourne’s CBD, has a deep sense of history and a vibrant living presence in the city.  A diverse body of people gathers each week to worship God in a variety of styles and settings including traditional, contemporary and international.  Alongside our many faith-based activities, we host a variety of conferences and musical events.  Rooms are frequently hired for corporate seminars, school groups and other meetings and events.

We are seeking a personable and well organised Office Manager to join our team on a full-time basis to efficiently manage the administrative and operational activities of the church.  You will possess strong organisational skills, a highly proactive approach, warmth and discretion, and an appreciation for the traditional culture of The Scots’ Church and our contemporary Christ-centred mission in modern day Melbourne.

About the role

The Office Manager is a key member of a small and supportive team, playing a pivotal role in the smooth and efficient operation of The Scots' Church by providing administrative support and coordination across its various functions. This position serves as the welcoming face and voice of the church, provides personal assistance to the Senior Minister and General Manager, coordinates the activities of operational staff and volunteers, and supports the church's communication and event needs.  Key responsibilities include:

  • Front office management
  • Personal Assistant to the Senior Minister and General Manager
  • Operations and special events coordination
  • Co-ordination of external venue bookings
  • Database and records management
  • Financial and general office administration

About you

The successful candidate will meet the following selection criteria:

  • Proven experience in an administrative or office management role.
  • Exceptional organisational and time management skills, with the ability to prioritise tasks effectively in a dynamic environment.
  • High proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and experience with database management systems.
  • Excellent written and verbal communication skills, with a keen eye for detail and the ability to produce high-quality materials.
  • A professional, discreet, and warm demeanour, capable of interacting effectively with diverse groups of people.
  • Ability to work independently with initiative, as well as collaboratively within a small team.
  • Basic to intermediate graphic design skills, with hands-on experience using the Adobe software suite, e.g., InDesign, Photoshop (desirable but not essential).
  • A demonstrated alignment with the values, culture and mission of The Scots' Church.
