Location: Online from basically anywhere Employment Type: Full-time (or 0.8 FTE by negotiation).
Reports to: Board and CEO in first instance Travel: Occasional international travel (Asia)
Commencement: Ideally the successful candidate will be interviewed in March, selected in April, and commence work by May 1.
Organisation Overview
We are an Australian registered Not-for-Profit organisation based in Brisbane, operating across 20 Asian countries. Our mission is to equip Christian leaders, counsellors, and communities through biblically grounded counselling training using the Christian Wholeness Framework, and to nurture a growing counselling community throughout Asia.
The Board of Directors recognize that because of the ongoing growth and opportunities that are opening the time has come for LW to engage a Business Administrative and Operations Manager. The position is being established primarily to facilitate upscaling of LW operations, in Asia, Africa, and globally online.
Our work includes:
- Delivery of Christian counselling training programs
- Development of culturally contextualised training resources
- Research of efficacy of training and programs
- Oversight and support of an international counselling network
- Partnerships with 20+ churches, ministries, national counselling association, counselling centers, seminaries and local organisations across Asia and Uganda.

Position Purpose
The Business Administration & Operations Manager is responsible for the effective operational, financial, and administrative management of the organisation in Australia and across its Asian operations.
Such a person would be expected to operate in the areas below to
- Establish and develop the role
- Grow the Business and Administrative Systems side of LW
- Serve the Exec Team and other leaders in their roles as departmental, program and area leaders
- Thus serve the advancement of the LW Community to meet its vision and mission.

This role ensures:
- Strong governance and compliance as an Australian Not-for-Profit
- Financial stewardship and accountability
- Efficient operational systems to support international training programs
- Organisational sustainability and scalability
- Effective support of a cross-cultural counselling community across 20 nations
The position integrates strategic oversight with hands-on operational leadership.
There is potential for the two elements – Business and Administration – to be filled by two separate people meaning around 0.4-0.5FTE and 0.4-0.5FTE for each role.
Key Responsibilities
- Strategic & Operational Leadership
- Translate Board and Executive strategy into operational plans
- Oversee implementation of programs across multiple Asian countries
- Develop annual operational plans, budgets, and KPIs
- Ensure alignment of all operations with the organisation’s Christian mission and values
- Identify opportunities for sustainable growth and partnerships
- Governance & Compliance (Australia)
- Ensure compliance with:
- Australian Charities and Not-for-profits Commission (ACNC)
- ASIC (if applicable)
- Queensland regulatory requirements
- Support Board governance processes (reporting, risk management, documentation)
- Maintain policies including safeguarding, child protection, privacy, and financial controls
- Ensure appropriate insurance coverage and risk mitigation strategies
- Financial Management
- Establish financial management system
- Facilitate movement to income vs donor based financial base
- Manage budgeting, forecasting, and financial reporting
- Monitor cash flow and funding sustainability
- Supervise bookkeeping and external accountants
- Manage international fund transfers and reporting accountability
- Oversee grant application, management and acquittals
- Develop financial policies and internal controls
- Donor Management
- Strengthen fundraising initiatives
- Manage relationships w new donors
- Build effective donor liaison team
- Assist with donor communications and impact reporting
- Support partnership development efforts
- Marketing Management
- Includes development and maintenance of CRM development (Client Relations Management)
- Creative exploration and access to new markets as product availability and scalability increases
- Close interaction with the LW Ecosystem esp Training Resources Research Community and Area Coordinators Community
- International Operations & Program Support
- Coordinate operational systems for training delivery across Asia
- Support regional leaders in 20 countries with systems, reporting, and accountability
- Establish clear reporting structures and performance tracking
- Manage logistics for:
- Training programs (online and in-person)
- International travel
- Resource distribution
- Support translation and contextualisation processes
- Systems & Administration
- Develop and maintain effective administrative systems
- Implement CRM and database systems for participants and partners
- Oversee data protection and privacy compliance
- Improve workflow efficiencies and documentation processes
- Manage contracts, MOUs, licencing, training, and partnership agreements
- Review and manage policies and procedures
- Work with marketing teams to grow opportunities as capacity builds
- Community & Stakeholder Support
- Support communication with international counselling community leaders
- Attend and assist to coordinate regional meetings and reporting
- Team Leadership
- Grow and supervise administrative and operations team staff (local and regional)
- Provide coaching and performance management
- Foster the collaborative, cross-cultural mission style team culture of Living Wholeness
- Support volunteer coordination where applicable
Key Selection Criteria
Essential
- A calling and desire to serve the work of Living Wholeness
- Capacity to conceptualize the complex ecosystem that LW is
- Completion of the basic Foundations of Living Wholeness Course to understand LW ethos
- Relevant tertiary qualification in Business Administration, Management, Commerce, or similar
- Minimum 5 years’ experience in operations or business management
- Experience in the Not-for-Profit sector (preferably with international operations)
- Strong financial management and budgeting experience
- Demonstrated understanding of governance requirements for Australian NFPs
- Experience working cross-culturally, preferably in Asia
- High-level organisational and systems development skills
- Excellent written and verbal communication skills
- Demonstrated Christian faith and values
- Ability to travel internationally

- Experience in faith-based or mission organisations
- Familiarity with counselling, training, or education sectors
