CityLife Church at Knox has an exciting opportunity for a Creative Weekend Events Assistant to serve within our Creative Ministry. The Creative Weekend Events Assistant ensures the effective communication and co-ordination with ministries and leaders involved with Weekend Services, and Events and will carry out administrative duties for Creative Ministries.
The Creative Weekend and Events Assistant (CWEA) provides key assistance to the Creative Ministries Pastor in the areas of development of vision, creative input, collaboration, administration, and delivery of CityLife Weekends and Events. The CWEA ensures effective communication and coordination with Ministries and Leaders involved with Weekend Services and Events.
CityLife runs a number of Events through the year, these include, but are not limited to, Team Launch, Easter, Mother’s Day, Inspire, Father’s Day, Team Appreciation, Leader’s Summit and Christmas. The CWEA would assist with the development of broad concepts and direction for Events by providing key assistance to the Creative Ministries Pastor.
Key responsibilities include but are not limited to:
- Provide assistance for the organisation and coordination of weekend services.
- Assist with the facilitation of relevant weekly meetings for planning and reviewing Weekend Services.
- Provide support and assistance, including contributing creative input, to the Creative Ministries Pastor in the development of Events, including the development of themes, creative delivery, overall design, vision, and implementation
- Work collaboratively with the Creative Ministries Pastor and other relevant stakeholders (i.e., Production, Music, Pastoral, Facilities Manager, Central Services, Communications) to bring agreed elements of the Event together
- Facilitate relevant meetings with key stakeholders as required
- Coordinate relevant bookings, hiring and/or purchasing for Events including catering where needed.
- Establish appropriate plans and timelines for the preparation and production of Events, including rehearsal schedules for all teams involved
- Work with Creative staff and volunteers to ensure schedules are adhered to
The successful candidate will have:
Previous experience with event management or production assistance will be highly regarded
Flexibility and calmness with last-minute changes
Personally creative and encourages creativity in others
Excellent verbal and written communication
Team building and conflict resolution skills
Effective decision making and problem solving
Demonstrated capacity to provide support to events run to tight deadlines
Experience using Microsoft Office suite is essential (Outlook, Word, Excel, PowerPoint) and experience with Planning Centre is preferred
Ability to work collaboratively across departments / ministries
Attention to detail
General understanding of OHS risks and controls associated with stage productions and music/audio/lighting equipment, including manual handling, trips and falls, electrical and height.
